Report
City Council Meeting: September 24, 2019
Agenda Item: 3.D
1 of 2
To: Mayor and City Council
From: Denise Anderson-Warren, City Clerk, Records and Election Services
Department
Subject: Adopt a resolution designating the Santa Monica Civic Auditorium as a
temporary meeting location
Recommended Action
Staff recommends that the City Council adopt the attached resolution to temporarily
designate the East Wing in the Santa Monica Civic Auditorium as the place for holding
regular meetings due to the Council Chamber Audio/Visual (AV) Remodel project.
Discussion
At the June 25, 2019 Council meeting, the Council approved a contract to equip the
Chamber with new audio visual, meeting management and computer systems to
enhance meeting attendees’ experience when participating in meetings and support the
functional requirements of the City Clerk and CityTV. Construction and related work is
currently scheduled f rom October 21, 2019 to January 13, 2020, making the Chambers
unavailable, and requiring Council meetings relocation during this time.
Charter Section 613 requires the Council to adopt an ordinance or resolution if they
wish to change the Council’s meeting place from the City Hall Chambers to another
location. At the November 10, 1998 Council meeting, the Council adopted a similar
resolution when the Chambers was last renova ted. The Civic Auditorium has been
secured as the alternate location for the October 22, November 5 (special), November
12, November 26, December 10 (special) and December 17, 2019 Council meetings.
Staff will make arrangements for CityTV coverage and work with the Office of
Communications to notify the community of this change. The Civic Auditorium was also
made available to other Boards and Commissions that normally meet in the Chambers,
and staff liaisons are making arrangements to relocate meetings there or at other
publicly-accessible facilities. Therefore, staff presents the attached resolution to
2 of 2
temporarily designate the Civic Auditorium’s East Wing as the Council’s meeting
location.
Financial Impacts and Budget Actions
There is no immediate financial impact or budget action necessary as a result of
recommended action.
