SUBJECT: Recommendation to award bid for filing equipment.
Bid No. 1326.
Introduction
This report concerns award of bid for one (1) electrically- powered
rotary file cabinet in the total amount of $2,599,12 including
applicable tax. Funds are available in account 46- 100 - 225 - 000 -950,
License Division Capital Outlay.
Background
This equipment is required to reduce space currently used and to
permit easier access to approximately 16,000 license records.
In response to published Notice Inviting Bids to furnish an
electrically - powered rotary file cabinet in accordance with city
specifications, one (1) bid was received and publicly opened and
read in the office of the City Manager November 3, 1977. Proposal
forms were mailed to twenty one (21) office supply and stationery
companies and notices were advertised in accordance with city
charter and municipal code provisions. The specifications were not
limited to one particular bidder's product. Automated Filing Systems,
Inc., submitted a bid of $2,452,00, Tax to be added is $147,12 for
a total of $2,599.12, Terms are net and delivery will be made
within fifteen (15) days,

Recommendation
It is recommended that the award be made to Automated Filing
Systems, Inc., the sole bidder, in the total amount of $2,599.12,
including tax.
