SR-06-26-1979-6B-9 - 904-001-02Santa Monica, California June 13, 1979 T0: Mayor and City Council G)q JUN 2 6 1979 FROM: City Staff SUBJECT: Recommendation to ratify purchase order for reinstallation of City Hall air conditioning equipment. Introduction This report concerns ratification of the purchase order issued for re- installation of air conditioning ducting and associated equipment located on the City Hall roof. This material was dismantled and relocated temporarily to allow access for the now completed roofing project. Background Response to the initial informal call for bids to accomplish this re- installation indicated that the cost would be in excess of the Five Thousand Dollar ($5,000.00) ceiling imposed by Charter Section 608. Accordingly, a formal invitation to bid, number 1468, was issued. Proposal packages were mailed to twenty (20) air conditioning and sheet metal contractors and notices were published in accordance with City Charter and Municipal Code provisions. Although several contractors inspected the work site and evinced interest, no bids were received at the scheduled opening June 12, 1979. It was apparent from the lack of response that to issue a second formal call for.bids would entail additional expense and delay with no assuarance of benefit. The lowest responsible bidder Broadway Sheet Metal and Air Conditioning, on the initial informal call agreed to honor the original bid of $5,295.00 and was directed to proceed. Recommendation It is recommended that the attached Resolution be adopted ratifying the purchase order for reinstallation of the air conditioning equipment on the City Hall roof. Prepared By: R.N.
