Subject: Enhancement and Ongoing Maintenance for Fire Station Alerting System
Recommended Action
Staff recommends the City Council:
1. Authorize the City Manager to negotiate and execute contract modifications to
increase the purchasing authorization in the existing Software License and
Maintenance Agreements with Advanced Electronics, a California based
company, from $153,553 to $162,175.24.
Executive Summary
The Fire Department uses. the Station Alerting System from Advanced Electronics, Inc.
for dispatching fire personnel to emergency incidents. The Fire Department proposes to
enhance the system by adding turnout timers. The new total. cost for the necessary
licenses and agreements is $162,175.24.
Discussion
On October 13. 2009, City Council authorized an expenditure of funds for the Advanced
Electronics Fire Station Alerting system in an amount not to exceed $153,553. To
increase Fire Personnel's awareness of total .response time, the Fire Department
proposes to enhance the current system by adding turnout timers. The turnout timers
will allow Fire Department personnel to see their actual turnout time as they leave the
station for each call. Turnout time is defined as the delta between the dispatch time and
en route time.
Financial Impacts & Budget Actions
The contract modification to be awarded to Advanced Electronics is $8,622.24. Funds
in the amount of $8,046.24 for the additional hardware costs and related services are
available at 0014020.589000. Funds in the amount of $576.00 for the additional
maintenance services are available at account 01316.555010.
Budget authority for subsequent years' maintenance and support costs will be
requested in each budget cycle for Council's approval.
