SR-400-000 (2) COUNCIL MEETING: August 8, 2000 Santa Monica, California TO: Mayor and City Council FROM: City Staff SUBJECT: Recommendation to Authorize the City Manager to Negotiate and Execute a Contract Amendment with Willdan Associates in an Amount Not to Exceed $83,129.00 for Additional Planning Services Required by the City Planning Division. Introduction This staff report recommends that the City Council authorize the City Manager to negotiate and execute a contract amendment with Willdan Associates in an amount not to exceed $83,129 to provide additional interim planning services for the City Planning Division. Background Willdan Associates has provided interim Planning services since November 1998 to cover other staff while on parental leave and to fill vacancies. These services were intended to end by late spring 2000. Exacerbating current workload demands, the City Planning Division has a key staff member scheduled to begin parental leave in September. Accordingly, the Division anticipates a continued need for contract services through April 2001. 1 Discussion In order to manage the current workload, maintain service continuity, and provide good customer service while filling temporary and full-time staff vacancies, it is necessary to continue contract-planning services provided by Willdan Associates. In the fall of 1998, staff interviewed representatives from two firms (Hogle-Ireland, Inc. and Willdan Associates) and selected Willdan Associates as best qualified to provide the interim planning services. This contract planner has provided excellent interim services since November 1998. The staff member on parental leave is expected to return in April 2001. Budget/Financial Impact Funds for the interim planning services are available in Account #01266.511690 in Fiscal Year 2000-2001. Recommendation It is respectfully recommended that the City Council authorize the City Manager to negotiate and execute a contract amendment with Willdan Associates in an amount not to exceed $83,129.
