SR-307-002-01 (4) City Council Meeting: August 9, 2005 Santa Monica, California TO: Mayor and City Council FROM: City Staff SUBJECT: Waiver of Rental and Parking Fees for the Use of the Santa Monica Civic Auditorium on October 18, 2005 and October 3, 2006 for the Santa Monica High School Parent Teacher Student Association College Fair Introduction This report recommends that City Council waive rental and parking fees for the Santa Monica High School Parent Teacher Student Association (PTSA) College Fair scheduled to be held at the Santa Monica Civic Auditorium on October 18, 2005 and October 3, 2006. Discussions The Santa Monica High School Parent Teacher Student Association has requested use of the Santa Monica Civic Auditorium to hold its College Fair on October 18, 2005 and October 3, 2006. The College Fair provides an opportunity for approximately 1,300 students and their families to meet with representatives of over 150 colleges and trade schools. For the past 18 years, the College Fair has been held in the Santa Monica High School gymnasium. The size of this location has limited the number of colleges that could participate and necessitated scheduled entry times for students and families. This 1 resulted in long waits and long lines at the event. The proposed move to the Santa Monica Civic Auditorium will allow the Fair to expand, better serving the students who attend Santa Monica, Malibu, and Olympic High Schools. The expanded College Fair will offer educational workshops on the college process, providing a general “how to” guide for post secondary education including college or trade school selection, and financial aid and scholarship options. Bilingual translation and mentoring services to assist Spanish-speaking families through the College Fair will also be offered. Prior to the College Fair, the PTSA will conduct bilingual informational workshops to prepare students and families to get the most out of the event. The PTSA’s expanded outreach program and increased workshop and mentoring opportunities are consistent with the City’s efforts to provide positive and preventative support services to Santa Monica youth, including at-risk older youth. Civic staff has confirmed the availability of the Santa Monica Civic Auditorium for the College Fair in 2005 and 2006. Budget/Financial Impact The value of the waived rental of the Civic Auditorium is $4,000 per year. The estimated value of waived parking fees is $4,800 per year. As the waived rental and fees were not included in the FY2005-05 Budget, no budget adjustments are required. 2 Recommendation It is recommended that the City Council waive the rental and parking fees associated with the use of the Santa Monica Civic Auditorium for the Santa Monica High School PTSA College Fair on October 18, 2005 and October 3, 2006.
