Introduction This report recommends award of bid to furnish and deliver nine police package sedans for the Office of Administrative Services Division, Police Department, in the total amount of $ 198,422.16, including applicable sales tax. Background The gasoline-powered sedans will be used by the Police Department for routine police duties and emergency response. They will replace eight sedans, model years 1994 through 1999, which are no longer cost effective to maintain due to high mileage. A ninth sedan is being replaced due to excessive mileage and extensive damage incurred in a traffic accident. Self insurance funds are available to replace this totaled vehicle. The purchase of gasoline-powered emergency response vehicles is acceptable under the City’s reduced emission policy. 1 Discussion In February 2004, the City published Notices Inviting Bids to furnish and deliver nine police package sedans in accordance with City specifications. Bids were received and publicly opened and read on March 18, 2004. Bid forms were sent to sixteen vendors and notices were advertised in accordance with City Charter and Municipal Code provisions. Nine bids were received as follows: VENDOR AMOUNT Villa Ford $ 198,422.16 Barber Ford $ 198,854.73 Don Kott Ford $ 200,061.05 Ford West $ 200,788.08 Pasadena Ford $ 201,932.75 Midway Ford $ 202,127.65 Raceway Ford $ 202,437.86 Santa Monica Ford $ 204,027.96 Wondries Fleet Group $ 205,159.73 Staff has evaluated the bid submitted by Villa Ford for nine gasoline-powered sedans and finds that it meets City specifications. 2 Budget/Financial Impact Budget authority for this purchase is in account number 01304.588060 in the amount of $ 189,755.16 and account number 58234.522000 in the amount of $ 8,667. Recommendation It is recommended that City Council award Bid# 2876 to Villa Ford as the best bidder for nine gasoline powered sedans, in the total amount of $ 198,422.16, including applicable sales tax.
