SR-205-003 (598) Purch:DH:RAH: F:\FINANCE\PURCH\STFRPTS\SRBD2862.DOC Council Meeting: October 28, 2003 Santa Monica, California TO: Mayor and City Council FROM: City Staff SUBJECT: Award Bid to Furnish and Deliver Four Replacement Video Cameras and Related Accessories, Bid #2862 Introduction This report recommends award of bid to furnish and deliver four replacement video cameras and related accessories for Cable TV, in the total amount of $242,511.74 including applicable sales tax. Background This equipment will replace Cable TV’s current video production cameras and accessories which are over eight years old. The cameras will be used for Cable TV’s mobile production truck programs as well as for field productions. Included are camera accessories such as tripods, viewfinders, mounting plates, etc. that are necessary to make the cameras usable and functional for Cable TV’s operations. Discussion In response to published Notices Inviting Bids (published September 6 and 11, 2003) in accordance with City specifications, bids were received and publicly opened and read on September 22, 2003. Proposal forms were sent to eight vendors and notices were advertised in accordance with City Charter and Municipal Code provisions. 1 Four proposals were received as follows: AMOUNT VENDOR Mona Eldib (Incomplete Proposal) $ 95,279.71 Ikegami Electronics $242,511.74 Burst Communications $383,712.38 TV Magic Inc. $397,858.39 The bid submitted by Mona Eldib does not meet City specifications as it did not include pricing for the video cameras which are the most important component of this bid. Her bid was for camera accessories only and is therefore considered non-responsive. Staff has evaluated the bid submitted by Ikegami Electronics for four replacement video cameras and related accessories and finds that it meets City specifications. Budget/Financial Impact Sufficient funds will be available at account C04082704.589000 to be appropriated by Council with the Year-end Budget Review staff report. Recommendation It is recommended that City Council: 1. Reject the bid submitted by Mona Eldib; and 2 2. The award of Bid #2862 be made to Ikegami Electronics as the best bidder for four replacement video cameras and related accessories, in the total amount of $242,511.74, including applicable sales tax.
