Recommendatlon to Award Bld for Bus Repalr Parts for
the Transportatlon Department, Bid *2030.
Introductlon
ThlS report concerns award of bld for ffilscellaneous bus parts at
the discounts from manufacturers published Jobbers price sheets
for the perlod of December 1, 1985 through November 30, 1986.
Background
In response to publ1shed hotlces Invlt1ng Blds (publlshed October
7-8, 1985) to furnlsh and del1ver miscellaneous bus parts in
accordance wlth Clty speclflcatlons, bids were recelved and
publ1Cly opened and read on November 19, 1985. Proposal forms
were malled to sixteen vendors and notices were advertlsed ln
accordance wlth City Charter and Munlcipal Code provlslons. SlX
proposals were recelved as follows:

It is standard practlce for C1ty Staff to contact the lowest bid-
der for the parts requlred. However, parts are not always avall-
able from the vendor w1th the lowest discount. Therefore, 10
order to avold disruptlng bus serV1ce, Clty Staff contacts the
vendor wlth the next lowest b1d and so-forth. This allows the
Transportation Department to obtain repair parts very rapldly
from any or a comblnatlon of vendors at the lowest price possible
at the time. It 1S therefore necesary that the Counc1l author1ze
the awardlng of blds to all SlX vendors.
Budgetary/Flnanc1al Impact
Fiscal Year 1985/86 approprlatlon authority for these parts 1S
budgeted ln various Transportation Department accounts. For F1S-
cal 1986-87 approprlation authorlty will be as set forth in the
Fiscal Year 1986-87 Transportatlon Department budget.

Recommendatlon
It is recommended that the award of Bid #2030 be made to all SlX
vendors at the discounts from the des1gnated I1sts during the
perlod from December 1, 1985 through November 30, 1986, 1nclud1ng
opt1ons for two and one year extenslons, as the lowest and best
bldders.
