Introductlon
~unds for a table model photo copy machine were included in the recommended
1981-82 budget as presented to City Councll In June of 1981. Although the
Mayor1s budget notes suggested an exploration of leasing a copler instead of
outright purchase, the budget was adopted without funds for either plan.
Background
Coples of documents involving invoices for legal c1al~s, lot ownershlp certlfi-
cates, records for family h1storlans, and other aspects of cemetery/mausoleum
operations are requ1red by morticians, attorneys, and others involved In sett11ng
family estates. To obtain these copies, cemetery personnel must travel to City
Hall or the City Yards, sometimes transportlng fraglle original documents. The
time requlred for these trips represents an expend1ture of tlme and energy WhlCh
could be better utillzed in service to customers at the cemetery business off1CE.
An evaluation of leasing versus outright purchase Of a typlcal small copier
was made and the results are as follows:
Lease Plan:
2 years at $141.08 per month = $3,384 + required $35/mo. service
Contract = $4,224 Total.
Purchase Plan:
The quoted purchase prlce 15 52,795, fully guaranteed for one
year, after which a $35/mo. service contract will be required.

Recommendatlon
Staff recommends that City Council authorize the expendlture of cemetery funds
in the amount of $2,795 to purchase a copler.
