Authorization to Increase Amount of Nextira Communications Contract by
$12,000.
INTRODUCTION
This report requests that the City Council authorize the City Manager to increase the
contract amount with Nextira Communications, formerly Williams Communications, by
$12,000 to cover the payment of sales tax for the purchase, installation and
maintenance of the Call Pilot voice processing system.
BACKGROUND
On June 8, 1999, City Council authorized the City Manager to negotiate and execute a
contract with Williams Communications for the purchase, installation and maintenance
of the Call Pilot voice processing system in an amount not to exceed $225,000. The
total project cost indicated in the staff report omitted sales tax. The Call Pilot voice
processing system provides voicemail, call routing, auto-attendant and after hours
messaging features for improved communications with the public.

DISCUSSION
The Call Pilot voice processing system was purchased and installed in FY 99/00. The
Information Systems Division has withheld final payment until the system worked
according to specification. The Call Pilot system is now meeting the City’s
specifications and staff is prepared to make the final payment, including the additional
authorization of $12,000 to cover sales tax.

RECOMMENDATION
Staff recommends that the City Council authorize the City Manager to increase the
authorization amount by $12,000 to cover the payment of sales tax for the purchase and
installation of the Call Pilot Voice Processing System.
